How InTaxOps handles client and candidate information

InTaxOps supports enterprise indirect tax operations, staffing, assessment, and implementation workflows. This policy explains what personal information we collect, where it comes from, how we use and disclose it, how long we keep it, and the choices and rights you have.

Who we are

InTaxOps ("InTaxOps", "we", "us") operates the website at intaxops.ai. This policy applies to personal information we collect through this website, by email, and in the course of business enquiries and recruiting. It does not cover information we process on behalf of clients under an engagement; that is governed by the relevant client agreement.

Personal information we collect and where it comes from

We collect the following categories of personal information:

  • Identifiers and contact details — name, business email address, phone number, and company. Source: you, when you submit a form or email us.
  • Professional information — job title, role requirements, project context, platforms, and anything else you include in an enquiry or readiness check. Source: you.
  • Job applicant information — your résumé, work history, education, skills, location, work-mode preference, and anything else you choose to send when applying by email. Source: you, and people who refer you to us. Please do not send government ID numbers, financial account details, or health information.
  • Communications — the content of emails and messages you exchange with us. Source: you.
  • Device and usage information — IP address, browser and device type, pages viewed, referring page, and approximate location derived from your IP address. Source: collected automatically by our hosting provider and, only if you accept analytics cookies, by Google Analytics.

How we use personal information

We use personal information to respond to enquiries; qualify staffing, assessment, and readiness requests; schedule calls; share relevant candidate profiles with prospective clients; evaluate job applicants; understand how the website is used and improve it (with your consent); keep the website secure; and comply with legal obligations. We do not use personal information to make decisions based solely on automated processing that produce legal or similarly significant effects.

Who we disclose it to

We disclose personal information only to:

  • Service providers acting on our behalf, such as our website host, email and productivity providers, and — only if you accept analytics cookies — Google, as the provider of Google Analytics. They may use the information only to provide services to us.
  • Prospective clients, when you are a candidate and have agreed that we may share your profile for a specific role.
  • Professional advisers, authorities, or other parties where required by law or needed to protect rights, safety, or security.
  • A successor or acquirer in connection with a merger, acquisition, or sale of assets, subject to this policy.

We do not sell or share personal information

InTaxOps does not sell personal information and does not "share" it for cross-context behavioral advertising, as those terms are defined in the California Consumer Privacy Act (as amended by the CPRA). We do not use personal information for targeted advertising and have not done so in the preceding 12 months. We do not knowingly sell or share the personal information of anyone under 16. We honor the Global Privacy Control (GPC) browser signal as an opt-out: if your browser sends it, analytics stays off.

How long we keep it

We keep personal information only as long as needed for the purposes above:

  • Business enquiries and related correspondence: up to 3 years after our last interaction, or for the duration of any engagement plus the period required for legal, tax, and accounting records.
  • Job applicant information: up to 2 years after your most recent application so we can consider you for future roles, unless you ask us to delete it sooner. If you join InTaxOps, it becomes part of your personnel record.
  • Google Analytics data: 14 months, after which Google deletes event-level data.
  • Your cookie-consent choice: stored in your browser until you clear it or change it through Cookie settings.

Your privacy rights

Depending on where you live — including California, Virginia, Colorado, Connecticut, Texas, Oregon, and other US states with consumer privacy laws — you may have the right to:

  • Know and access the personal information we hold about you, and receive a portable copy.
  • Correct inaccurate personal information.
  • Delete personal information we collected from you, subject to legal exceptions.
  • Opt out of the sale or sharing of personal information, targeted advertising, and profiling. We do none of these, but you may still submit a request, and we honor Global Privacy Control.
  • Appeal our decision on your request.
  • Not be discriminated against for exercising any of these rights.

How to exercise your rights

Email peterh@Intaxops.ai with the subject line "Privacy request" and tell us which right you want to exercise. We will verify your request by matching the details you give us with the information we hold, and may ask for more information to do so. You may use an authorized agent; we may ask the agent for proof of your written permission and ask you to confirm your identity directly. We will respond within 45 days, or tell you if we need an additional 45 days. If we decline your request, you can appeal by replying with the subject line "Privacy appeal"; we will respond to an appeal within 45 days (60 days in Colorado). If you are not satisfied with the outcome of an appeal, you may contact your state Attorney General.

Children

This website is intended for business users and is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us and we will delete it.

Security

Access is limited to authorized InTaxOps delivery, sales, recruiting, and operations team members. Sensitive client material is handled through controlled workspaces agreed during engagement setup. No method of transmission or storage is completely secure, but we use reasonable administrative, technical, and physical safeguards appropriate to the information.

Where information is processed

Personal information may be processed in the United States and in other countries where InTaxOps team members or our service providers operate. Where we transfer information, we take steps to keep it protected as described in this policy.

Cookies

Our use of cookies and similar technologies, and how to control them, is described in our Cookie Policy. You can change your choice at any time using Cookie settings in the website footer.

Changes to this policy

We may update this policy from time to time. We will post the updated version here with a new "last updated" date and, for material changes, take reasonable steps to let you know.
